Frazier Insurance, located in Little Rock, Arkansas, has been providing for all of its customers'
insurance needs for more than 20 years. Frazier is a Nationwide Insurance™
agency that also does independent work for other lines of business that Nationwide doesn't
offer. They currently have more than 3,000 clients, which naturally challenges them with huge
volumes of paperwork. But they have found a solution in a document management system from
PaperWise.
The Challenge
In the insurance industry, paperwork runs your life. When you have been in the business
for more than 20 years with a client base the size of Frazier's, the amount of paperwork your
office handles can be astounding. Frazier's 10 filing cabinets were taking up valuable
office space, and creating an ever-growing obstacle to efficiently conducting business.
"Prior to PaperWise, we had all of our documents in file cabinets piled full. When you
would go to find a customer's file, invariably something was missing or someone had the
file pulled and you didn't know where it was," Richard Frazier, company president,
explains. To a growing business like Frazier Insurance, the everyday inefficiency of a
manual filing system was beginning to take its toll.
The Search
Realizing the cost associated with lost or misfiled documents, as well as the inefficiency
of manually filing his documents, Frazier decided to look into going paperless. He began
with an Internet search and looked into a several solutions, including the PaperWise
imaging solution. After preliminary contact with several candidates, more extensive
research was done with the top vendors. PaperWise was ultimately the choice that Frazier
felt would be the best fit for his company.
Substantial Relief
Frazier Insurance worked with an IT consultant to help them install the product. After
a few minor modifications to their existing system, they had PaperWise up and running.
"PaperWise was extremely helpful getting us up and running on the product," Frazier said.
Frazier initially spent some time back-file scanning all of their existing documents,
and today uses their PaperWise system to scan all new documents as they come in. "We
scanned and shredded all of our old stuff. Now when we get documents, we scan them as
we get them. We scan applications, rejections, endorsements, and we scan entire
policies. Today, when someone calls asking for a policy, we just go into PaperWise
and e-mail it to them," Frazier adds. This process has made their daily tasks much
easier, more efficient, and more reliable. "Before, I would be looking for a document
and it might take three or four hours in some cases to find it. I actually have some I have
never found. But that just doesn't happen anymore," Frazier says. "I don't have to get
up from my desk and go to a file cabinet, I don't have to search for a lost document,
I don't have to file stuff. Just creating files and cabinets is time consuming and
expensive. PaperWise has eliminated all of this," he says.
Total Satisfaction
Frazier Insurance currently scans between fifty and one hundred documents a day. They
have approximately 20,000 multi-page documents in their database, all of which are
retrievable in sub-second time. They scan their documents using two Fujitsu 4120 series
scanners. Richard also automatically backs his system up and takes it to another location
to make sure that his data is never lost or destroyed. When asked about his thoughts on
PaperWise Richard says, "PaperWise is great. It has been a huge help. I love it, our
staff loves it, and now that we have done all of the back scanning, we are seeing some
definite benefits. One of my first directions to anyone who works here is 'everything
gets scanned.'" Now that they are free from the restraints of a manual filing system,
Frazier Insurance is able to focus on taking care of their existing clients, as well as
growing their company.
